Project Administrative and Finance Assistant

Eligibility criteria

Minimum age: 22 years old. Applicants must be nationals of or legal residents in the country of assignment.

Description of task

Within the delegated authority and under the supervision of University of Prishtina Programme Manager and overall guidance of UNV Country Coordinator, the UN Volunteer will undertake the following tasks:

  • Support the implementing partner to implement and evaluate activities in compliance with the agreed project activity plan.
  • Provide logistical, administrative and financial support and follow-up for substantive meetings organized by the project team and implementing partner;
  • Register, track and keep evidence of financial transactions related to the project,
  • Prepare and monitor invoices and report to authorities for relevant taxes;
  • Check budget lines to ensure that all transactions are booked accurately;
  • Keep schedules and records of volunteers’ work and maintain an up-to-date volunteer database, including volunteer attendance and allowance;
  • Act as a liaison person between UNDP/UNV and the implementing partner facilitating coordination and communication between the two parties;
  • Organize and schedule meetings and record accurate meeting minutes;
  • Carry out administrative duties such as storing, organizing and managing files related to the project;
  • Assist in preparing project reports;
  • Prepare interim and final financial report
  • Perform other related duties as may be required or assigned by the supervisor within the scope of the assignment.


Required degree level: Bachelor degree or equivalent

Education - Additional Comments:

  • Bachelor’s degree in business administration, economics, accounting, finance or other relevant field;

Required experience: 24 Months

Experience remark:

  • 2 years of professional experience in carrying out administrative and financial tasks, including payment transfers, bank account transfers, journal entry, and reporting;
  • Ability to maintain a high level of accuracy, confidentiality concerning financial and volunteer files;
  • Ability to organize and complete assignments within deadlines;
  • Strong overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.), and office technology equipment;
  • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multidisciplinary team and implementing partners;
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines
  • Previous experience as a volunteer and/or experience of another culture, (i.e. studies, volunteer work, internship) would be highly regarded;

Language skills:

  • English(Mandatory), Level - Working Knowledge
  • Albanian(Mandatory), Level - Fluent
  • Serbian(Optional), Level - Working Knowledge

Area of expertise: Other development programme/project experience, Other finance, economics and administration related experience

Driving license: No
